Core Responsibilities
- Manage front desk seating area using visitor registers, entry badges, and reception desk furniture.
- Handle incoming telephone instruments by transferring calls through fixed line systems and call registers.
- Receive courier parcels and documents while updating inward outward registers and delivery logs.
- Maintain appointment schedules on desktop calendars and daily visit sheets at reception counters.
- Prepare gate passes and visitor slips using printed stationery and approval notes.
- Monitor lobby cleanliness and arrangement of brochures, notice boards, and display materials.
Skills and Technical Exposure
- Desktop computers with email software and word processing applications.
- Telephone consoles and fixed line call routing systems.
- Visitor registers, inward outward logs, and courier tracking sheets.
- Office printers, scanners, and photocopy machines.
- Calendar scheduling tools and basic spreadsheet documents.
Experience Context
- Work takes place at a corporate head office reception area with continuous visitor movement.
- Daily volume includes multiple walk in guests, courier deliveries, and scheduled meetings.
- Without this role, visitor control breaks down and document handling becomes disorganized.
